Shared Responsibilities/Ordinary Board Member
All VQI board members are expected to:
Attend monthly online VQI Board Meetings, as well as quarterly in-person meetings. Take an active role in board meetings, contributing to discussions and decisions.
Provide ideas, feedback, and creative input on VQI’s community events throughout the year, and attend VQI-hosted events when available to support and engage with the community.
Support the organization and execution of at least 2–3 events per year, alongside the rest of the board.
Represent VQI at Irish Consulate events in Vancouver multiple times a year.
Attend New in Vancouver meetups hosted by the IRL group to support newcomers and represent VQI within the community.
Support VQI’s annual Pride Parade entry and Pride events (if available).
Serve as ambassadors for the Vancouver Queer Irish community, upholding VQI’s values of inclusion, celebration, and support for 2SLGBTQIA+ Irish people and allies.

Board Secretary
The Secretary maintains all official records, prepares agendas and minutes, and manages correspondence. They support clear communication with board members, keep documentation organized and accessible, and help the committee operate smoothly.
Key Responsibilities
Maintain records of the Committee and ensure effective management of VQI's records
Manage Minutes of Committee meetings, including either recording the Minutes or ensuring the Minutes are recorded by another committee member if not available to attend, and ensuring minutes are distributed to members shortly after each meeting and no later than 7 days
Development of the agenda in consultation with other Committee members and distribution prior to the meeting
Ensure that the records of the VQI are maintained as required by law and made available when required by authorised persons. These records may include founding documents, lists of Committee members, Committee meeting Minutes, financial reports, and other official records

Events Coordinator
The Events Coordinator isn’t the one planning every event — they’re the go-to support person who handles the admin, tools, and logistics that help other board members pull
off their events smoothly.
Key Responsibilities
Work with the VQI President, Marketing Coordinator and external graphic designer to create event assets.
Set up Eventbrite pages, Typeform sign-ups, and registration tools for designated events.
Book photographers and videographers for larger events.
Coordinate asset delivery timelines with the Social Media Coordinator.
Work with the Member Officer to add event attendees to contact list post event
Skills & Qualities
Organized, detail-oriented
Comfortable with event tools (Eventbrite, Typeform). Training will be provided.
Strong communication and collaboration
